01Who we are
PartnerRound (partnerround.com) helps people prepare for consulting interviews. We decide how the personal data described here is used, which makes us its controller under UK and EU data protection law.
Questions, or a request about your data: [email protected].
02The short version
- We collect what we need to run your practice: your account, your answers, your scores and your progress.
- Recordings of your answers are only kept if you turn that on, and then for 90 days at most.
- AI and transcription providers process your answers to give you feedback. We do not use your answers to train AI models.
- We do not sell your data and we do not show adverts.
- You can turn reminder emails off, delete your recordings at any time, and delete your whole account from your account page.
03What we collect, and why
| What | For example | Why | Legal basis |
|---|---|---|---|
| Your account | Email address, name, and either a password (stored only in scrambled form by our sign-in provider) or your Google profile if you sign in with Google | To create your account and keep it secure | Contract |
| Your goals | Target firms, role, interview date, email and recording preferences | To tailor your practice and send the reminders you have asked for | Contract |
| Your practice | Mock interview transcripts, scores and feedback; drill answers; lesson progress; online test results; your application tracker | To run the practice, show your progress and give you feedback | Contract |
| What you send for feedback | CV text and motivation for the application screen; spoken answers, sent as audio to be transcribed; coach messages; video interview transcripts | To screen, transcribe and mark your answers | Contract |
| Saved recordings, only if you turn them on | Your video interview answers and the audio of your voice-mode interviews | So you can watch and listen back | Consent, which you can withdraw at any time |
| Email records | Which reminder emails were sent to you, and when | So no email is sent twice | Legitimate interests |
| Payments, if you pay | Your plan, billing status and purchases. Card details go to Stripe and never reach us | To bill you and provide what you paid for, and to keep tax records | Contract and legal obligation |
| Usage and technical data | Pages viewed, counted without cookies by Simple Analytics; IP address and browser in our hosting logs | To keep the site working and secure, and to understand how it is used overall | Legitimate interests |
If you give us your email address to receive a free resource, we use it to send that resource and occasional follow-ups, which you can unsubscribe from at any time.
04What stays in your browser
Some things are kept only on your own device, in your browser's storage, and never reach our database:
- Your coach chat history and your prep plan.
- Your mock process progress, including the CV text you paste into it. That text is sent to our screener to be marked, but we do not store it.
- Your video interview videos, unless you choose to save them.
- Display preferences such as dark mode.
Clearing your browser's data removes them.
05AI and transcription
The coach, the AI interviewer, the application screener and the marking of your answers use Anthropic's Claude models. Spoken answers are turned into text by AssemblyAI.
To do that we send them what the task needs: your messages, answers or transcripts, the case or question, and for the coach a short summary of your progress. If you allow the camera check in the video interview, one still frame from your camera is sent for feedback on framing and lighting; it is not used to assess you as a person and it is not stored.
We do not use your answers, recordings or transcripts to train AI models. AI feedback can be wrong, so treat it as a second opinion.
07International transfers
Some of these providers are based in, or use servers in, the United States and other countries outside the UK and EEA. Where your data leaves the UK or EEA, it is protected by recognised safeguards, such as adequacy regulations or the standard contractual clauses and UK addendum that these providers offer.
08How long we keep it
- Your account and practice history: while your account is open. Deleting your account from your account page removes it straight away; if you ask us by email instead, we do it within 30 days. Copies in backups are overwritten on their normal cycle.
- Saved recordings: 90 days from when they were made, or sooner if you delete them or turn saving off and delete them.
- Records of emails sent: 90 days.
- Payment records: as long as tax and accounting law requires, usually six years.
- Analytics: page counts only, with nothing that identifies you.
09Emails
Some emails are part of the service: scorecards for interviews you finish, receipts, and anything about your account or billing. Others are reminders: interview countdowns, application deadlines, nudges and a weekly summary. Every reminder has an unsubscribe link, and you can switch reminders off on your account page.
11Your rights
You can ask us to:
- Give you a copy of your data, or send it to another service.
- Correct anything that is wrong.
- Delete your data, or your whole account.
- Restrict or stop using it, where the law allows.
Where we rely on your consent, as with saved recordings, you can withdraw it at any time on your account page, where you can also delete your whole account. To use any other right, email [email protected]. We reply within one month.
If you are unhappy with how we handle your data, please tell us first. You can also complain to the Information Commissioner's Office at ico.org.uk, or to the data protection authority where you live.
12Security
Everything travels encrypted. Each person's data is walled off from everyone else's in our database, saved recordings sit in private storage reachable only through links that expire within minutes, and access on our side is limited to what is needed. No system is perfectly secure; if a breach puts your data at risk, we will tell you and the regulator where the law requires.
13Children
PartnerRound is not meant for anyone under 16, and we do not knowingly collect their data. If you think a child has signed up, contact us and we will delete the account.
14Changes to this policy
If we change this policy, we will update the date at the top. If a change matters, for example a new use of your data, we will tell you by email or on the site before it takes effect.
